Automate Wix Form to External Email

I am trying to automate a wix form to submit to an external email (outlook) instead of it just sitting in the form submissions inside of wix internal dash. My client does not want to have to log in to Wix and instead wants their form submissions to come to their outlook inbox. I have looked on Zapier and did not see a solution for this, Is this possible? Thank you in advance for ideas/advice.

You could use Wix Automations to send an automated email on a form submission to a chosen email address.

I looked at that, but it seems all that will do is send a notification the form was submitted and not actually include the submitted data in the form in the email. is that correct or am I wrong and it does actually include all the info?

I had been going round-n-round with Wix Support for a few weeks on the issue of the NEW Wix Forms component doing something as simple as sending a proper email notification to the site owner and/or staff. Seems like one of the most BASIC features of something like a Contact form, which is so incredibly common on websites. BUT, it’s just not quite there right now.

So here’s what I was able to confirm with Wix Support as to the state of sending email notifications from NEW Wix Forms as of Sept. 2024, in case it can be helpful to anyone else seeking to figure this out.

  • There are 3 typical automations that would generally be associated with form submission notifications: 1) ‘Get an Email’; 2) ‘Send an Email’; and 3) ‘Show in Inbox’.

1) ‘Get an Email’ automation: this one will send an email to whomever is listed as recipients. But, the contents of the email (if you tick ‘Include details of trigger in the email.’) just include a bunch of extraneous data that would not be important to the end user (e.g., date & times, etc.), so not super elegant or easy-to-read. You also cannot customize the subject line or reply-to email with what may have been filled in the form. Wix is apparently working on cleaning the contents of the email up a bit, but this will eventually be deprecated in favor of the ‘Send an Email’ automation.

2) ‘Send an Email’ automation: with this one you can customize the email template a bit and produce a pretty elegant and decently styled email with just the contents of the form in the body. The subject line can be customized with subject field data that the submitter may have entered. But you cannot customize the ‘Reply-to’ email to be the email a submitter would have entered, so still not 100% simple to respond to from your email client.

The issue with this one is that currently only the site owner will receive the email even if you add additional Collaborator Roles (which include other staff/users) to the Recipients field. This is a known bug but no timetable on when it will be fixed, as it relies on a 3rd party provider.

3) ‘Show in Inbox’ automation: this will post the form submission in the Wix Inbox OK. But it will NOT trigger the email notification you may have set on Wix Inbox in the 'Inbox Settings > Notifications > Email Notifications’ area. I was not informed that this is a bug, so that may just be the behavior that it might always have.

Hope this is helpful!
